Kitchener Waterloo Chess Club - Annual General Meeting September 11,

C: Reports C-1 President: Doug Hoch The Kitchener Waterloo Chess Club
is run by volunteers such as the executive members and tournament
directors. KWCC affiliated with the Chess Federation of Canada and
Ontario Chess Association. For example, the rating fees go to CFC which
gives a rebate to OCA. KWCC is also a member of South Western Ontario
Chess League. Weekend tournaments contribute to SWOCL's Grand Prix which
encourages participation in SWOCL tournaments. Memberships are now due .
Adult membership $40 a year, youth membership $25 and an affiliation
membership (Rockway Seniors and Concordia Club Chess Group) of $20 for
full members. A Family membership will be discussed later. The KWCC has
agreements with Kitchener City Hall and Downtown Business Association
for use of facilities and grants to assist with the club and Civic
Square programs. Financial statements will be discussed later. We have a
reserve fund in case our rental agreement changes. Full range of
tournaments from casual chess to serious rated tournaments. Also we have
coffee-house chess on club nights. Three weekend tournaments are also
available. Doug requested reasonable conduct by members and their
guests. He encouraged members willing to help out to get involved.
C-2 Vice President: Ed Brown Ed Brown recruited volunteers for
Kitchener Chess Festival this summer. Volunteers helped at Canadian
Amateur, the Canadian Women's Championship and Canadian Closed
Championship held during Kitchener Chess Festival. Ed commented
Kevin Schwartzer for help with Sunday Youth and the summer festival. The
requirement for Community Service hours to graduate has prompted several
willing volunteers.
C-3 Treasurer's Report: Hans Jung expressed appreciation for help
from Gerry Litchfield. A detailed financial report was distributed and
reviewed. About 88 members membership contributes revenue. Revenue
$11,274 Expenditures Club $3,089 Civic Square $7,500 Net Income $ 685
Maintain a reserve in case of rent increase. Sunday program, the Youth
club, has increased rental amounts and increased memberships.
Sponsorships have also increased. Hans recommended that a Membership
coordinator is needed separate from Treasurer. MOTION: Treasurer's
Report received. CARRIED
C-4 Tournament Director: Ed Thompson: Need for new TDs to
become trained and committed to run or assist in the running of at least
one event this year. Most weeks have either an active ( Game completed
in less than one hour.)or regular tournament (Game over in about three
hours.)on-going. These tournaments are rated by the CFC. We also run
speed (Game complete in ten or twenty minutes.) or coffee-house
tournaments. Schedule is on line at our web-site www.kwchessclub.com.
Participants need to be club members for all tournaments and CFC members
for rated tournaments. June team tournament open to community and clubs
(CFC rated) to be held at Concordia Club or here at Kitchener City Hall.
University of Waterloo won the 2007 Team trophy against KW Chess Club,
Concordia Club and a Guelph Chess team.
C-5 Civic Square Chess Program: Hans Jung This year is the eighth
year of a Civic Square outdoor chess program. Grants from the Kitchener
City and Downtown Business Association help run the program. Hans Jung
runs the program with drop-in participants. During the Kitchener Chess
Festival visitors and player also played at the tables. Hans has help on
weekends. Justin McDonald worked the weekend shift successfully. Twelve
members have join KWCC from Civic Square program.
C-6 Youth Program: Patrick McDonald - Sunday Club for youth runs
Sunday afternoon. Averaging up to 20 youth. Club events and monthly
tournaments with youth KW Club membership $25. - OYCC may be held here
at Kitchener. We have run this tournament for five years. This year
there were twelve sections, 78 players with prizes sponsoring players to
CYCC. - Waterloo Chess Challenge sends kids to Ontario Chess'n Math
tournaments grouped by grade. Schools in the area need more information
about this chess opportunity. - Patrick and Mahmud
Hassain have helped with the
Waterloo County High School league. Several local secondary schools have
chess players but no team. Teacher sponsors are required. - Kids' Park
in Victoria Park has drawn in youth. It has brought some young players
to the Sunday Youth Club.
C-7 Web-site Patrick McDonald requested suggestions for changes.

C-8 Chess Festival - We held our second summer Chess Festival with
Canadian Closed, Canadian Women's Championship and the Canadian Amateur
tournament. Bids are planned for 2008. Kitchener Chess Festival. -

D-2 Voting : Nominations closed and the Treasurer and Secretary were
acclaimed.
E: New Business: E-1 Club Objectives: E-mail news letter has been
developed as a new means of communication by Dan Raats.
Jason Runstedler
has volunteered as assistant TD. Membership coordinator to promote
memberships and collect memberships will be appointed. Involve more club
members in volunteer activities. Suggest quantify number and tasks for
volunteers.
E-2 Family Memberships- Family memberships: MOTION: Be it resolved
that we create a special Family Membership for the KW Chess Club. This
would apply to immediate family members living together. (Siblings,
parents, children, grandparents). CARRIED
The new fee would be the higher membership would be the first
membership and each additional member from the same family unit would be
just an additional $10 per member for the full year. For example: a
Mother and Son (junior) join: the membership fees would be $40 for the
adult membership and then just $10 for the son, if the Father then
joins, it will be just an additional $10, if the sister then joins,
again, just $10 additional. Or: if a brother and sister join (both
juniors) the membership fees would be $25 for the first then $10 for the
second. IF the Father then joins, the total membership would change to
$40 for the First and then $10 for each additional (for the two kids) so
$35 total would then become $40+$10+$10=$60. Post the membership fees
for next week.
E-3 Sponsor the move of the CFC office: MOTION: Be it resolved that
we approach the City of Kitchener to ask for sponsorship for the office
of the National organization - the Chess Federation of Canada to be in
Kitchener. CARRIED
We should approach the City to seek sponsorship for a location to
host the National office which could also include a Chess Museum and/or
the National Chess Archives - perhaps even combining it with a chess
"cafe". If we are successful in gaining the support of the city, we
would then bid for the office with the CFC. The CFC Executive would have
to discuss and agreed to this proposal. A realistic goal may be that it
could take the full year to realize this.
E-4 Tournaments Conestoga Mall: September 29, 2007 - Display Downtown
Community Centre Chess program run by Hans Jung now includes teaching
seniors and Drop-in Wednesday 3:30 pm to 4:30 pm Next Tournament
